Who we are
Codieshub is a software development agency. We are the controller of the personal data described in this policy, which covers codieshub.com and the enquiries you send us through it. Our address is 251 W 135th St, New York, NY 10030, United States.
For any privacy question or request, email privacy@codieshub.com.
What we collect
Information you give us. When you submit the form on our Get in Touch page we collect your full name, email address, phone number (with country dial code), company name, company website, the service you need help with, your project budget range, how you heard about us, and the message you write. If you email or call us, we keep that correspondence.
Technical data sent with the form. Our server records your browser's user-agent string and your IP address alongside the submission, so we can spot spam and abuse.
Analytics and usage data. When you browse the site, our analytics tools collect information such as the pages you view, referring site, approximate location derived from your IP address, device and browser type, interactions such as clicks, and JavaScript errors. See the cookies section below for the tools involved.
We do not ask for payment details, government identifiers, or special-category data through this website.
How we use it
- To reply to your enquiry, schedule a call, and prepare for it.
- To scope, quote, and deliver work if you become a client, and to manage that relationship.
- To alert our team in real time when a new enquiry arrives.
- To understand which pages and services visitors find useful, and to fix errors on the site.
- To protect the site and our inbox against spam, fraud, and abuse.
- To meet legal, tax, and accounting obligations.
Legal bases (UK and EU visitors)
If you are in the United Kingdom or the European Economic Area, we rely on these legal bases under the UK GDPR and the EU GDPR:
- Contract: processing needed to take steps at your request before entering into a contract, or to perform one.
- Legitimate interests: responding to business enquiries, running and securing our website, and preventing spam. We balance these interests against your rights.
- Consent: analytics cookies and similar technologies where the law requires consent. You can withdraw consent at any time.
- Legal obligation: keeping records we are required to keep by law.
Who we share it with
We share personal data only with service providers that process it on our behalf to run this website and our business:
- Vercel: hosts the website and stores media files for our content management system.
- Our database hosting provider: stores contact form submissions in the PostgreSQL database behind our content management system (Payload CMS).
- Slack: receives a notification containing your form submission so our team can respond quickly.
- Google (Google Analytics 4): website analytics. If we enable Google Tag Manager, it is used to load our analytics tags.
- PostHog: product analytics and error tracking. When you submit the contact form, PostHog receives the budget range, service of interest, and how you heard about us. It does not receive your name, email, or phone number from the form.
- Ahrefs (Ahrefs Web Analytics): privacy-focused traffic measurement.
We may also disclose information to professional advisers, to a buyer or successor in a business transfer, or where the law requires it. We do not sell personal information.
International transfers
We are based in the United States, our engineering team works remotely from outside the US and UK, and our service providers may process data in the United States and other countries. Where UK or EU personal data is transferred to a country without an adequacy decision, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum, or a provider's certification under the EU-U.S. Data Privacy Framework and its UK extension.
How long we keep it
We keep enquiry data for as long as needed to respond to you and manage our relationship, then delete or anonymize it. If you become a client, we keep project and billing records for as long as the engagement lasts and as long as the law requires afterwards. Analytics data is kept according to the retention settings of each analytics tool.
Your rights
Depending on where you live, you may have the right to access the personal data we hold about you, correct it, delete it, restrict or object to how we use it, receive a portable copy, and withdraw consent you have given. UK and EU residents can exercise these rights under the UK GDPR and the EU GDPR, and can complain to the UK Information Commissioner's Office or their local data protection authority.
California residents. Under the CCPA, as amended by the CPRA, you have the right to know what personal information we collect and how we use it, to request access, correction, and deletion, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising, and we do not run advertising pixels on this website.
To make a request, email privacy@codieshub.com. We may need to verify your identity before acting on it, and we will respond within the time the applicable law allows.
Cookies and analytics
We use a small number of cookies and similar technologies: one strictly necessary session cookie for staff who sign in to our content management system, and analytics from Google Analytics 4, PostHog, and Ahrefs Web Analytics. Our Cookie Policy lists what each one does and how to control them.
Security
We hold a SOC 2 Type II report. The site is served over HTTPS, contact submissions can only be read by signed-in staff, and nobody can create or edit submissions through the admin or public API. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your data and will notify you and regulators of a breach where the law requires.
Children
This website is for businesses. It is not directed at children under 16, and we do not knowingly collect their personal data. If you believe a child has sent us personal data, email us and we will delete it.
Changes to this policy
We update this policy when our practices or the tools we use change. The date at the top shows when it was last revised. For material changes, we will place a notice on this page.
